Ensures material is auditable by both internal and external auditors. Administer SAP (Materials Management module for Contracts and coordinate for PACER-C. Observes safety and fire procedures.
1- Prepares Contract and Tender documents in accordance with approved policy and procedures. Includes compiling tender packages consisting of invitation for tender, contract conditions and specifications and pricing schedule up to the level of the Tender Committees approval. Create Contracts, Purchase Orders in SAP and PACER-C.
2- Assists employing department in the investigation of claims and disputes by SASREF against contractor and/or vice-versa. Includes assisting employing departments in the selection of such contractors and in any dispute that may arise during their performance.
3- Conducts job explanation meetings, site visits and Tender Clarification meetings with contractors to verify tenders and ensures contractors understand fully the scope of work outlined in tender.
4- Initiates contractor counselling sessions to discuss poor performance by contractors. Includes setting up dates for meeting, arranging the facility, preparing minutes of the meeting, informing employing department and legal representatives as required.
5- Processes notices of default, termination letters executing options, requirements and amendments and processes them according to the specific contract provisions
6- Prepares and issues in close coordination with project engineers contract variation orders and minor contract orders in accordance with contract conditions and approved policy and procedures to ensure that work performed remains within the updated contract terms and conditions. Updates SAP/PACER-C system as per issued Contract Variation Order.
7- Develops and maintains individual contract documentation files to ensure files are auditable by internal and external auditors.
