Position Summary:
Coordinate with the Managing Director and the Operation Managers for the direction, organization and overall management of the office policies, procedures and scheduling of work time and assignments to staff.
Essential Job Functions:
1. Responsible for the implementation and ongoing maintenance of all office policies and procedures.
2. Responsible for the logistics required for the office visitors/guests such as hotel and car reservations in a timely manner.
3. Manage and order supplies within the budget guidelines of the company.
4. Organization, filing and preparation of reports, documents, ..etc.
5. Developing the company's electronic database, archive, internal mail, systems, and procedures.
6. Maintaining and supervising the electronic database and archive.
7. Participating in the preparation of invoices and pro-forma invoices.
8. Following up the service orders, invoices and payments with clients.
9. Preparation of project schedules, man-days and assignments distribution in coordination with project managers.
10. Following up with project managers the progress of the projects and contributing to maintaining plans and creating alternative plans, if needed.
11. Development of an appropriate project archiving system
