To develop, implement and maintain an effective and professional credit control system for the company. The role will also include follow-up with internal customers (departments) and external customers (clients) to ensure sales/services invoices are cleared expeditiously as per company's credit policy and/or in line with contracts/agreements.
Supervision of the credit control team including their training and development is integral part of the responsibilities.
- Review the company credit control procedure and develop and implement enhancements where required.
- Assist in the setting up of the credit control system
- To manage the outstanding sales balances falling due and contact customers before the balances become overdue to confirm payments.
- Where required initiate proceedings to ensure outstanding debts are bought to a satisfactory conclusion.
- To keep the company up to date with new credit management procedures and techniques.
- Recommend the Legal department budget and monitor financial performance versus the budget so that the business is aware of anticipated costs/revenues, areas of unsatisfactory performance are identified and potential areas of cost reduction or performance improvement opportunities are capitalised upon.
- Ensure that debts are paid in a timely manner
- Chase overdue invoices by meetings, telephone, email & letter within agreed timescales
- Maintain accurate records of all chasing activity
- Regular meetings with key business users to ensure all relevant debts are managed as necessary
- Identify changes in payment patterns and propose action to avert indebtedness
- Handle disputed bills and negotiate to bring payment within the agreed terms and escalate where necessary
- Provide accurate advice on billing queries
- Respond promptly and completely to both client and internal enquiries
- Propose write off of irrecoverable WIP and disbursements
- Providing ad-hoc reporting as and when requested
- Post payments to accounts and allocate as required
- Undertake account reconciliations as required
- Ensure monthly processing deadlines are met as required
- Send out monthly client statements/letters as may be agreed from time to time
- Develop the credit management capability within the practice
- Provide cover for other accounting functions as requested
- Other duties as delegated from time to time by the Supervisor or any other person
- Keep the company up to date with new credit management techniques and practices
