Executive - Event Planning Job - ADNEC Group

Planning and Organizing:

• Act as a point of contact in the absence of the Manager-Event Planning for the clients/ customers (organizers, exhibitors) for all venue planning activities and gather an in-depth understanding of their requirements and expectations
• Ensure in-depth planning of the event with an detailed walkthrough of each individual aspect of the show/event
• Conduct/ organize de-briefings for communicating with the venue services and the venue operations department to ensure all pre-requisites for running exhibitions and events are organized well and meet the client requirements
• Oversee the development of the floorplan and maintain records of any changes to ensure each event is built to the correct dimensions including stands, aisles & features
• Assist the Manager-Event Planning in Set, manage and control the budget in for all operational expenditure and contractor services and try to keep them to minimum
• Communicate closely with the client and manage the assigned event for the client in terms of providing advice, guidance, managing their expectations and negotiating while ensuring best interest for ADNEC commercially and protecting the capital assets
• Proactively contribute to the implementation of venue facilities and service for events and organizers by monitoring and logging service requirements and problem areas
• Gather business and industry intelligence by visiting other venues and events
Pre-show Planning:

• Take the handover from sales of the document containing the detailed client requirements to the event planning manager
• Actively involved in preparing the floor plan and providing strategic inputs on issues related to space allocation, maximum utilization etc.
• Conduct regular weekly meetings with executives to take updates on the progress of assigned work to ensure adherence to timelines and avoid any risks/ delays during events
• Coordinate with other operations departments to develop plans to implement contingency plans if required to mitigate risks during exhibitions and events
• Coordinate with the health and safety inspectors to ensure inspection of complex structures during the build up stage
• Assist the Manager- Event Planning in sending communication or dealing with government authorities like the police
Show Management:

• Assist the Manager-Event Planning in supervising and overseeing that all the stands are built according to the requirements of the exhibitors and they adhere to the highest levels of safety
• Coordinate with other departments including Traffic Management, Security and Protocol for route planning for the VIPs and ensure that the Royal Tours and VIP visits are completed without any major hassles
• Interact with the leading exhibitors and other key stakeholders during the event to understand and troubleshoot their issues, if any
• Oversee that all queries of exhibitors and visitors are addressed appropriately and in a timely manner
Postshow Appraisal:

• Prepare and submit a postshow report to the Head of Event Planning highlighting the success factors for the exhibitions and learning points for the next exhibition
• Consolidate the expenses and revenues for the exhibitions and conduct the variance analysis vis-a-vis the approved budget and target revenues
• Review the feedback received from the exhibitors, visitors and event organisers to draw meaningful inferences and make recommendations for future exhibitions
• Recognize the team members who contributed the most to the exhibitions by going beyond their formal responsibilities
